Klean Bean Collective is a premium, eco-conscious residential and commercial cleaning business serving Frankston, Bayside and the Mornington Peninsula in Victoria. When we say “we”, “us” or “our” in this policy, we mean Klean Bean Collective Pty Ltd.

2The information we collect

We only collect information we genuinely need to provide and improve our services. This usually includes:

  • Contact details — your name, phone number and email address.
  • Service details — the address to be cleaned, property details, access instructions, and any special requests.
  • Booking history — the cleans you’ve had, your schedule, quotes and notes relevant to your service.
  • Payment information — the details needed to invoice and take payment. Card payments are handled by our secure payment provider; we don’t store full card numbers.
  • Communications — the messages, emails and calls between us.
  • Website information — basic technical and usage data when you visit our site (see section 5).

If you apply to work with us, we’ll also collect the information you provide in your application, such as your work history and any checks relevant to the role.

3How we collect it

We mostly collect information directly from you — when you request an instant estimate, fill in our contact form, call or message us, or book a clean. We may also receive information when someone refers you to us, and we collect limited technical data automatically through our website.

4Why we use it

We use your personal information to:

  • Prepare quotes and confirm bookings.
  • Schedule, carry out and manage your cleans.
  • Invoice you and process payments.
  • Communicate with you, including reminders and updates about your service.
  • Maintain quality, handle any issues, and improve how we work.
  • Send you helpful updates or offers where you’ve agreed to receive them (you can opt out any time).
  • Meet our legal, tax and insurance obligations.

5Cookies & website analytics

Our website is hosted on Squarespace, which uses cookies and similar technologies to keep the site working, remember preferences, and help us understand how visitors use it. You can control or disable cookies through your browser settings, though some parts of the site may not work as well if you do.

6Who we share it with

We never sell your personal information. We share it only where needed to run our business and deliver your service, with trusted providers such as:

  • Scheduling & booking software — to manage your bookings and team rosters.
  • Accounting & invoicing software — to issue invoices and process payments.
  • Cloud storage & email — to securely store records and communicate with you.
  • Our website host — to operate this site and its forms.
  • Our team members — the cleaners and staff who need details to carry out your service.
  • Professional advisers and authorities — where we’re required or permitted by law.

We only share what each provider needs, and we expect them to protect your information.

7Overseas disclosure

Worth knowing: some of the software and cloud providers we rely on store or process data on servers located outside Australia. Where this happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

8How we keep it safe

We take reasonable steps to protect your information from loss, misuse and unauthorised access — including secure systems, access controls, and limiting who can see your details to those who need them. No system is ever completely secure, but we work hard to keep your information protected and only keep it for as long as we need it.

9Marketing & your choices

If we send you updates or offers, every message includes an easy way to opt out, and you can ask us to stop at any time by replying or emailing us. We’ll always respect that choice. Opting out of marketing won’t affect the service messages you need to receive about your bookings.

10Accessing & correcting your information

You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct anything that’s wrong or out of date. Just contact us using the details below and we’ll help. In the rare case we can’t give you access, we’ll explain why.

11How long we keep it

We keep your information only as long as needed for the purposes above, or as required for tax, legal and insurance reasons. When it’s no longer needed, we take reasonable steps to securely delete or de-identify it.

If you’re concerned about how we’ve handled your personal information, please contact us first — we take privacy seriously and will work with you to put things right. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
